What is a Records and Information Management Assessment?

 A RIM assessment is a structured evaluation of how well an organization manages its records across policies, processes, systems, governance, compliance, and day-to-day practices.


Its purpose is to determine:

  • What is currently in place
  • What is working well
  • Where gaps, risks, and inefficiencies exist
  • How the organization compares to legal, regulatory, and internal requirements
  • What improvements are needed to strengthen the records program


The RIM assessment typically reviews areas such as:

  • Governance and accountability
    Roles, responsibilities, and oversight structures


  • Policies and procedures
    Whether documented rules exist and are current, clear, and applied consistently


  • Retention and disposition
    Whether records are kept for the right length of time and disposed of appropriately


  • Classification and inventory
    How records are categorized, located, and tracked


  • Systems and storage
    Where records reside, including shared drives, cloud platforms, email, and business systems


  • Compliance and risk
    Alignment with legal, privacy, regulatory, and audit requirements


  • Access and security
    Controls over confidentiality, integrity, and availability


  • Training and awareness
    Whether employees understand their records responsibilities


  • Monitoring and continuous improvement
    How the program is measured, audited, and updated


In simple terms, a records management assessment is a health check of the organization’s records management program. It identifies the current maturity level and provides the foundation for a roadmap or improvement plan.
